Version 1.0
Privacy Policy
How ReverseBids.net, an AIONIQ Enterprise platform, collects, uses, shares and protects buyer and supplier data.
This policy reflects what the platform actually collects and does as of this version. It is a practical implementation, not a substitute for legal review — it should be reviewed by qualified counsel against the jurisdictions ReverseBids.net actively serves before being treated as final.
1. Who We Are
ReverseBids.net (“ReverseBids”, “we”, “us” or “our”), an AIONIQ Enterprise platform, is a B2B reverse-auction procurement platform connecting buyers and suppliers. This policy should be read together with our Cookies Policy and Terms of Use.
2. Information We Collect
Registration and account data
Company name, GST/PAN or equivalent tax identifiers, MSME status, registered address, bank account details, contact person's name and designation, email address and mobile number.
Compliance and verification documents
GST certificate, PAN copy, MSME certificate, ISO/quality certification, technical and commercial proposals, and other documents you upload during registration or RFQ compliance.
Requirement, RFQ and auction data
Product requirements, quotations, bid amounts and history, auction configuration, allocation and award records, purchase orders, delivery challans, goods-receipt and inspection records, invoices and payment records.
Contact and support data
Information you submit through our Contact form — your role, the purpose of your enquiry, company name, contact details, and your message and any attachment you choose to include.
Account security and audit data
Login timestamps, IP address, device/browser information, and a timestamped audit log of material actions taken on your account, used for security, fraud prevention and dispute resolution.
Payment data
Platform-fee invoices and payment status. Card, UPI and other payment-instrument details are handled directly by our payment gateway provider (Razorpay) — ReverseBids.net does not store your full payment credentials.
3. What We Deliberately Don't Collect
Being specific about the boundary matters as much as being specific about what we do collect:
- Device GPS or precise location data — ReverseBids.net does not currently have a mobile app, and the web platform does not request location access.
- Metadata extracted from uploaded documents or images (e.g. EXIF data) — files you upload are stored as submitted and are not scanned for embedded metadata.
- Advertising or cross-site tracking identifiers — no analytics or marketing tooling is integrated on the platform today (see our Cookies Policy).
4. How We Use Your Information
We use the information above to:
- Verify buyer and supplier identity and eligibility before allowing platform access
- Operate RFQs, reverse auctions, order, delivery, inspection, invoicing and payment workflows
- Maintain the audit trail, bid integrity and identity-masking controls the platform is built on
- Respond to enquiries submitted through the Contact form and route them to the right team
- Detect and prevent fraud, security incidents and unauthorised access
- Meet applicable legal, tax and regulatory record-keeping obligations
We do not use your data for advertising, and we do not sell personal data to third parties.
5. Sharing and Third Parties
Confidential bid information is never disclosed to a competing bidder — masking and controlled visibility during live auctions are core platform controls, not optional. Outside of that, we share information only where necessary with:
- Our hosting and authentication infrastructure provider, to operate the platform securely
- Our payment gateway provider (Razorpay), to process platform-fee payments
- The counterparty buyer or supplier on a specific transaction, limited to what that transaction requires
- Regulators, auditors or law enforcement, where legally required
6. Cookies
ReverseBids.net uses strictly necessary cookies to keep you securely signed in, and does not activate any optional (preference, analytics or marketing) cookie without your consent. Full detail, including the current list of cookies we actually set, is in our Cookies Policy.
7. Data Retention
We retain registration, transaction, audit and compliance-document data for as long as your account is active and for the period required afterward to meet our legal, tax, audit and dispute-resolution obligations. Consent records are retained for accountability. Obsolete or unnecessary data is deleted or anonymised according to the approved retention schedule.
8. Security
Access to buyer, supplier and admin accounts is protected by authenticated sessions and role-based access controls. Compliance documents and other uploads are stored through access-controlled server-side infrastructure, not exposed directly to the public internet. No security measure is perfect, and we encourage you to use a strong, unique password and to report any suspected compromise immediately.
9. Your Rights
Subject to applicable law, you may:
- Access the personal data we hold about you
- Request correction of inaccurate or incomplete data
- Request deletion of your data, subject to our legal, audit and contractual retention obligations
- Withdraw consent for optional cookies at any time, without affecting processing already lawfully completed
- Raise a grievance or complaint through the contact details below
10. Jurisdictional Scope
ReverseBids.net serves buyers and suppliers across multiple countries and legal regimes. This policy is written to a general standard of data-protection practice rather than to any single jurisdiction's exact requirements, and is not a representation of compliance with every applicable law in every country of use. Legal review against the specific jurisdictions ReverseBids.net actively serves is required before this policy is treated as final, and should be repeated as the platform's footprint changes.
11. Children
ReverseBids.net is a business-to-business platform and is not intended for use by children. Users must have legal capacity and authority to act for the relevant organisation.
12. Changes to This Policy
We may update this policy when our data practices, providers or applicable legal requirements change. The version number above is recorded and will change whenever the policy is materially updated.
13. Contact and Grievances
For privacy questions, data requests or grievances, contact admin@reversebids.net or use the Privacy request / Grievance option on our Contact page. Until a named Grievance Officer is formally appointed and published, communications received at this address are routed to the authorised privacy or grievance contact.
